Building manager - facility & caretaking duties for 98 unit building

  We currently manage the owners corporation of a residential building close to the melbourne cbd, seeking a quote for a building manager ie: facilities management and caretaker services.

could you please provide a quote based on the following:

provide a set-rate monthly fee be charged for facilities management services. this fee should also include the fee for a professional caretaking/cleaning service. plus a transparent set rate for any after hours or emergency service required or as required by the owners corporation. the facilities manager should be the point of contact for all maintenance related issues within the building, and any strata related queries be forwarded to strata manager (us).

a typical facilities management service needed:
· provide first point of contact for all building maintenance/compliance/safety related issues including annual fire service statements and sla/kpi’s if required.
· overlook all preventative and reactive maintenance services including but not limited to; fire, lifts, electrical, mechanical, hydraulics, cleaning & gardening, security, waste & hygiene and pest control.
· maintain a list of common contractors and their compliance.
· maintain access control and security system.
· organise or employ full-time onsite caretaker to deal with the day-to-day cleaning, lighting replacement, access for contractors, waste management, area checks, and other minor ad-hoc repairs and maintenance as required.
· provide weekly visual inspection by fm supervisor for quality purpose.
· provide monthly management report to sm and executive committee.
· provide a 24 hour / 7 day emergency help-desk and onsite service.
· provide competitive quotes and approve works carried out, then forward to sm.
· other fm related duties as required by ec.

hours required:
- fm 260 hrs per annum (5 hrs/week, m-f)
- caretaking 2080 hrs per annum (40 hrs/week, m-f)
